The role

 

This is a new role within Mills & Reeve's Central Inception Team (CIT).  The CIT are responsible for inception checks for new clients and matters.

 

The Apprentice CIT Administrative Assistant will report to a CIT Advisor and is responsible for supporting CIT Assistants in completing discrete tasks within the on-boarding process.

 

Primarily the Apprentice CIT Administrative Assistant will be responsible for the processing of data to run conflicts searches and forwarding on the results to the appropriate person.

 

The person

 

This is a busy and challenging role and to be successful, your background will probably include:

  • At least 4 GCSEs at Grade 4 (formally Grade C) or above to include mathematics and English (or equivalent)

  • Has a genuine interest in an office administration role

  • Is committed to see through the term of the apprenticeship

  • A good understanding of Microsoft Office systems; Word and Outlook

  • Comfortable with technology and data inputting

In addition, the role requires someone who:

  • Has the ability to work as part of a team and establish good working relationships

  • Has good planning and organisational skills

  • Remains calm under pressure

  • Has good communication skills

  • Provides outstanding support and client service at all times

  • Has excellent attention to detail

The apprenticeship

 

Whilst working as an Apprentice CIT Administrative Assistant, you will be studying towards a Level 3 Business Administration apprenticeship.  You will be given sufficient time to complete assignments and training in order to meet the standards required by the course.

 

The activities

Responsibilities

  • Run conflict searches against the names of individuals and companies and then email the results of the search to the lawyers in the business.

  • Work alongside a CIT assistant and provide administrative support to them in getting the files open

  • Support CIT members as required with travel arrangements, inputting of expenses, booking of meeting rooms and catering

  • Consider each situation and use the appropriate form of communication, for example, emails, telephone calls, video-conference or face to face conversations

  • Work within and adhere to all of the firm¿s policies, procedures and processes

Leadership

  • Read firm communications and support new initiatives

  • Actively help others and be flexible/willing to go the extra mile to ensure work is completed on time, including having an awareness of workloads and priorities

  • Understand the basic legal processes involved in the work you are covering and understand what is required in order to comply with these

  • The firm is committed to innovation in all areas.  Within your role, consider and put forward better and new ways of working

Business Management

  • Take responsibility for prioritising your own workload, requesting work when capacity arises and keeping the appropriate person informed as to progress, discussing as any problems that may arise

  • Attend meetings when required and notify the appropriate person if unable to attend a meeting or training and rearrange as necessary

Technical Excellence

  • Attention to detail in processing data, particularly in relation to inputting search terms into the conflicts checking system

  • Ensure you are confident with the filing structure, enabling you to complete e-filing promptly and accurately

This post is also subject to a satisfactory response from the Disclosure and Barring Service (DBS) to check for any previous criminal convictions.
